Computer Basics 6 - Sending your CV by email by Scott Boyd This article will cover step by step instructions on how to send your CV by email. Two assumptions will be made here:
Create a new email Open MS Outlook and click on new (top left of the screen, under the File menu). This will open up a blank email message.
In the To: line (the top of the 3 blank lines above the main text area where you write your email), type in the email address of the person you are sending your CV too (the email address will look like this: name@companyname.com).
If you are sending the same email to more than one person (not recommended for your CV) then you can either add the email addresses in the To: line (seperated by a comma, like this: name@company1.com, name@company2.com, name@company3.com) or you can add them to the Cc: line (the one below the To: line).
In the Subject: line (the bottom of the 3), use a descriptive title such as "CV - Your Name" or "Application - Job Ref: *ref number*"
Your subject line is important and should contain something that helps the recruiter identify it easily. Keep in mind that a recruiter will be receiving many CVs so if you were to merely use "CV" as your subject line, then the recruiter won't know your CV from anyone else's'.
Writing your message I hardly ever read the full body of a CV, and recruiters are no different. Again, remember just how many CV's the recruiter is receiving - keep it short and to the point.
Contrary to popular belief, your email message should not have the same content as your cover letter would have. If you wish to include a cover letter with your CV, then attach it as a separate file.
You should start off your email message with, "Dear *name*" or if you don't know the name of the person then "Dear Sir or Madam" would suffice.
The next line should be along the lines of, "Please find attached my CV (and covering letter if you included one)", followed by one of these:
I would generally add one more paragraph (a line or two) that included contact details (phone) and times that are good to call you for more information.
Finishing off the message, I would state that, "I look forward to hearing from you", and then "Kind Regards" or "Yours Sincerely".
Example:
This is simple and to the point. These types of email should describe the purpose of the email and not offer more information about your work history (use your CV and covering letter for that!).
Attaching a file OK, all you need to do now is to attach your CV (and covering letter if you have one) to the email.
You do this by clicking on the paperclip icon or going to the Insert menu and selecting File. This will pop open a window that allows you to select the file you wish to attach.
Navigate to the location on your computer where you saved your CV / Covering letter, select the file and click on Insert.
Repeat this if necessary to attach another file (your covering letter).
All you need to do now is to click on Send and your email will be sent to whoever you addressed it to!
You did check all your spelling first, right?
